A fantastic opportunity has arisen for an experienced Personal Assistant to join our business to provide support to a key member of our Contact Management Centre (CMC) leadership. This is a full time permanent position based in our offices in Stafford (ST18 9AR) or Widnes (WA8 8HS) with travel required to support the leaders.
The role itself will consist of;
Diary management – including internal & external meeting coordination, together with preparing information and documentation required for meetings. This may also include providing ad-hoc diary support to CMC leadership team members during holiday / absence periods.
Communication – monitor inbox and respond appropriately; develop a process that enables PA to respond and alert to anything potentially critical. Part of the role is to draft email and letter responses for approval and to receive, vet, respond to and, wherever necessary, re-direct both internal and external telephone calls.
General Administration – such as completing expenses forms and submitting appropriately. Reviewing invoices and liaise with the appropriate members of the department to gain the authorisation to approve. Administer the holiday / absence system resolving any structural issues within the system and responding to requests in a timely manner. Reviewing organisation charts regularly to ensure they are up to date and accurate. The booking of any travel requirements, hotel accommodation, off site events through the appropriate route e.g. Capita. Progress actions where possible, keep a record of actions from meetings and chase where necessary
To be successful in this role we are looking for a proactive and experienced PA that has ideally had experience supporting a ‘Head of...’ or ‘Director’ level. You must also be highly PC literate with excellent verbal and numeracy skills and above all excellent attention to detail. You will be expected to cope with a high and diverse workload and you will be expected to use initiative rather than rely solely of the direction of their immediate line manager at all times.
